Introduction

Portsmouth Mediation Service (“PMS”) values its visitors’ privacy.  This privacy statement is effective from 25th May 2018 and summarises the information we might collect from a visitor to our website, and what we will (and will not) do with it.  It also describes how we use cookies and how we host the website.

Please note that this privacy statement does not apply to the collection and use of information by individuals or organisations other than PMS.  Accordingly, please note that we do not have any control over and are not responsible for any other website that you may visit including those that that we refer to, or link to, from this site.

The information that we might collect

When you browse this website we have visibility of the following information:

  • your device’s IP address indicating where your computer is located on the Internet; and
  • session data for your login session (so that our computer can ‘talk’ to yours while you are browsing our site).

We keep a record of the IP address in order to maintain the provision of the website service (as this information can often enable us to identify and fix problems).

If you ask us to register you as a user of the website, we will also request:

  • your name;
  • your email address; and
  • your website;

and we keep a record of the username and password you choose (but the password is hashed and unavailable to us) along with any account preference information you give.  If you do not wish to provide this, we may be unable to register you as a user.

What we do with your personally identifiable information

We will only use the information referred to above in order to:

  • maintain our website;
  • enable you to use it; and
  • notify you of material changes to this privacy statement.

That includes our sharing it with those individuals who manage or audit our website.  In line with common practice, we maintain backup copies of material that we keep in order to restore the website service following a significant adverse incident and this will include the information that you have provided to us.  We will take reasonable precautions to protect the information from loss, misuse and unauthorised access, disclosure, alteration and destruction.

We will not:

  • sell or rent the information to a third party;
  • use or disclose the information except:
    • as necessary to provide services you have requested;
    • in other ways described in this privacy policy or to which you have otherwise consented;
    • as required by law.

Personal information collected via this site will be used to provide a requested service, will be shared only as the law permits and stored only for as long as required to fulfil the service.

Where you have used our contact form we will only use the information to provide the requested service; will retain your details for as long as necessary to fulfil the request and will not share your details without your prior permission unless required to do so by law.

Cookies

PMS uses “cookies” to store personal data on your computer.  The only cookies used directly on our site are used for:

  • The COVID-19 update message
  • wordpress sessions and preferences; and
  • remembering your acceptance of the cookie notice.

We may also link information stored on your computer in cookies with your personal information stored on our servers.  If you set up your web browser so that cookies are not allowed, you might not be able to use some or all of the features of our website.

PMS uses some third party components on its website.  These components include embedded YouTube videos, using Google’s ‘Privacy Enhanced Mode’.  Using this mode means Google is not tracking your viewing behaviour, but is still using cookies for purposes such as advertising and analytics.  Third-party cookies are used via our site by:

We store your data on servers located in the UK but provided by third party hosting vendors.

Data protection

PMS takes your data privacy seriously. We are registered as a data controller with the Information Commissioner who maintains a public register of data controllers. 

If you wish to find out what information the Charity holds about you please contact us providing your contact details, a brief description of the information you require and enclose proof of your identity. This could be a scanned copy of a household bill, passport or membership card.

Changes to this privacy policy

We reserve the right to change this privacy statement as we deem necessary or appropriate because of legal compliance requirements or changes in our business practices.  If you have provided us with an email address, we will endeavor to notify you, by email to that address, of any material change.  At any time, you may ask us to delete your personal information and we will do this as soon and as far as reasonably practicable (although we are limited in the extent to which can delete material held in historical backups).
