By submitting a story, image, logo, or any other material (“Content”) to the 100 Relational & Restorative Practice Stories from Across Portsmouth project, you agree to the following terms:

1. Ownership, Consent, and Safeguarding Responsibility
You confirm that you are the creator of the Content or have obtained all necessary permissions from the rightful owner(s).

Where your Content includes identifiable individuals, you confirm that:

  • You have obtained informed, explicit consent for their inclusion and for public sharing of the Content
  • For children (under 18) or vulnerable adults, consent has been obtained from a parent, guardian, or appropriate responsible authority
  • The individual (or their representative) understands how and where the Content may be used, including public display

You also confirm that sharing this Content does not place any individual at risk of harm, distress, or exploitation.

2. Anonymity and Protecting Identities
You are strongly encouraged to:

  • Avoid naming individuals unless necessary and consent has been clearly obtained
  • Remove or change identifying details where appropriate

You may request that your Content is:

  • Published anonymously, or
  • Edited to protect identities

Portsmouth Mediation Service reserves the right to anonymise content where safeguarding concerns arise, even if consent has been provided.

3. Licence to Use Content
You grant Portsmouth Mediation Service and named project partners (including Portsmouth City Council and the University of Portsmouth) a non-exclusive, royalty-free, worldwide licence to use, reproduce, edit, publish, display, and share your content.

This includes use in:

  • Websites and digital platforms
  • Social media
  • Printed publications
  • Exhibitions and installations
  • Public displays (including buildings and walls)
  • Future creative formats related to this project

4. Editing and Safeguarding Review
All submissions may be reviewed for:

  • Safeguarding risks
  • Privacy concerns
  • Legal compliance

Content may be edited for clarity, accessibility, length, or to reduce safeguarding risks. Where substantial changes are required, we will seek to consult you where reasonably possible.

5. Public Display and Ongoing Use
You understand that:

  • Your content may be made publicly available
  • It may be used in both current and future outputs of the project

Approved Content that has been published as part of the project may remain publicly accessible indefinitely as part of the project archive, including online, in printed materials, and in public displays.

Requests for removal or anonymisation will be considered wherever reasonably practicable. However, Portsmouth Mediation Service cannot guarantee complete removal from the internet or from materials already published, distributed, archived, downloaded, shared, or publicly displayed.

Portsmouth Mediation Service reserves the right to remove or anonymise content where ongoing publication is considered to present a safeguarding, legal, or ethical concern.

6. Safeguarding and Sensitive Content
You agree not to submit Content that:

  • Includes confidential, sensitive, or personal information without appropriate consent
  • Describes situations that could identify individuals in harmful or unsafe ways
  • Could compromise the safety or wellbeing of any person

Portsmouth Mediation Service reserves the right to refuse, edit, or remove content where safeguarding concerns arise.

7. No Payment
Submissions are voluntary. No payment or financial compensation will be provided for the use of your Content.

8. Accuracy and Legal Responsibility
You confirm that, to the best of your knowledge:

  • The Content is accurate
  • It does not infringe any third-party rights, including copyright, privacy, or defamation

9. Data Protection
Any personal data will be handled in accordance with:

  • UK General Data Protection Regulation
  • Data Protection Act 2018

Your contact details will be used to administer this project and will not be shared beyond project partners without your consent.

Personal data collected for administration purposes (such as contact details and unpublished submissions) will normally be deleted on or before 31 January 2027.

10. Right to Refuse or Remove Content
Portsmouth Mediation Service reserves the right to:

  • Decline submissions
  • Edit Content
  • Remove Content at its discretion, particularly where safeguarding, legal, or ethical concerns arise
